You will be required to provide PA/Secretarial/general administration support to the Sales and Marketing Director and Head of Marketing and Publicity. Key tasks will include: Letter transcription, arranging meetings and taking minutes, filing, maintaining diaries, checking invoices and organizing travel arrangements. Office AssistantJOB TITLE: Office Assistant JOB DESCRIPTION: Reporting to the Customer Service Manager, this role will provide a friendly, professional welcome to customers and visitors on site and assistance to the customer service team. MAIN DUTIES: Responsible for welcoming any visitors on site, including the accurate completion of the signing in procedures and site Health and Safety briefing Responsible for providing accurate information on site locations and directions, including the distribution of site maps for all customers, tradesman and deliveries. Responsible for responding to email, fax, website and telephone request for brochures and nearest dealer information. Responsibility for checking all the Group answer phone services each morning, dealing with customer requests and where appropriate passing messages and information to relevant departments. Responsible for the daily inputting of spare orders, ensuring all data entry is accurate. Responsible for scanning all received fax orders onto the db archiving system. Responsible for scanning all invoices and customer correspondence onto the db archiving system. Responsible for the production and postage of service call request acknowledgment letters. Responsible for sending, faxing or emailing instructions, brochures or any other information, as requested by customers or dealers. Responsible for the matching off dispatch notes with original order forms, ready for supervisor sign off. Responsible for transferring internal mail across sites and franking of external mail. Responsible for the sorting and distribution of all mail within the building. Providing a punctual, professional telephone service to all calls received, including transferring to appropriate departments and messaging services when the department is unavailable. Responsible for maintaining the displays of promotional literature in the foyer, including the ordering and replenishment of brochures Responsible for the professional maintenance of the reception area. Provide assistance to the marketing department, assisting with mail merge documents; envelop stuffing and collation of information for direct marketing. In conjunction with the Directors PA, responsible for the ordering, collection and setting up of lunch / refreshments for meetings and training, where required. In conjunction with the Facilities Manager complete the weekly Fire Alarm call, including all due diligence documentation.
